The Problem
A pharmaceutical formulation manufacturer with 340 instruments across two production facilities was managing calibration through a combination of a master Excel sheet maintained by the quality team and paper certificates filed in binders organised by instrument type. Calibration due dates were managed by a reminder system maintained by one person — when that person was on leave or changed roles, due dates were missed. Three instruments had gone past their calibration due dates without being flagged in the six months before the implementation. The quality team spent approximately 4 working days before every regulatory inspection compiling calibration records — searching through binders, cross-referencing the master sheet, and printing certificates for auditor presentation. During a WHO GMP inspection, the team was unable to immediately produce the calibration certificate for one analytical balance — a finding that required a corrective action response.
The Implementation
PrecisionCAL Enterprise deployed for 340 instruments across both facilities. Instrument data migrated from the Excel master sheet using the migration concierge service over 3 weeks. External calibration vendor records migrated from paper certificates with OCR-assisted data extraction. Calibration schedules configured. Pre-due alerts configured at 30 days and 7 days for all instruments, with escalation to the quality manager at 3 days.
The Outcomes
- Zero overdue instruments in the 12 months following implementation — automated scheduling and pre-due alerts eliminated the manual calendar management that was missing due dates
- Audit preparation reduced from 4 days to under 2 hours — all calibration records accessible from the dashboard, certificates generated as reports in seconds
- 340 instruments across 2 sites managed from one platform — the multi-site dashboard replaced the manual consolidation of site-level reports
- MSA/Gage R&R studies integrated — IATF 16949 MSA requirements for measurement system validation managed within PrecisionCAL, eliminating the separate Excel-based calculation process
- WHO GMP inspection outcome — at the subsequent inspection, every calibration record request answered from the PrecisionCAL dashboard within minutes
"Before PrecisionCAL, audit preparation was a team event that consumed 4 days of the quality team's capacity. Now it is a morning's work for one person."
